Cookie policy details

Last Updated: May 1, 2026

This Cookie Policy is provided by Kaytos, LLC, a Delaware limited liability company ("Kaytos," "we," "us," or "our"), which operates the paperwork.bot platform and services. Our Privacy Policy explains our principles when it comes to the collection, processing, and storage of your information. This policy specifically explains how we deploy cookies, as well as the options you have to control them.

What Are Cookies?

Cookies are small pieces of data, stored in text files, that are stored on your computer or other device when websites are loaded in a browser. They are widely used to "remember" you and your preferences, either for a single visit (through a "session cookie") or for multiple repeat visits (using a "persistent cookie"). They ensure a consistent and efficient experience for visitors, and perform essential functions such as allowing users to register and remain logged in. Cookies may be set by the site that you are visiting (known as "first party cookies"), or by third parties, such as those who serve content or provide services on the website ("third party cookies").

How We Use Cookies

We use cookies and similar browser storage primarily for technical and functional reasons. They allow you to log in, maintain your session, protect forms, remember basic preferences, and use the features of our platform. We do not use cookies or browser storage for advertising, cross-site behavioral tracking, or analytics targeting.

Where We Place Cookies

We set cookies when you visit our websites (including paperwork.bot) and when you use our Services.

Types of Cookies

The table below explains the types of cookies we use on our websites and why we use them.

Category Why we use these cookies
Required These cookies are essential for our websites and Services to perform basic functions. They allow registered users to authenticate and perform account-related functions, protect against cross-site request forgery, support public share/task flows, and confirm acknowledgement of this Cookie Policy where the notice is shown.
Functional These cookies and browser storage entries remember lightweight preferences and workflow context, such as saved table filters, recently viewed process/task references, and recent command shortcut usage. They are used only to make the product work more smoothly.
Security On login, signup, password reset, and demo-request forms, we may load Google reCAPTCHA Enterprise or hCaptcha to help prevent abuse. Those providers may set cookies or use similar technologies on their own domains as part of the security check.

Cookies We Set

Below are the cookies set by paperwork.bot.

Required

Cookie Purpose
_paperwork_session Session cookie used to authenticate you and maintain your logged-in state while using our Services. The cookie itself is set with an absolute expiration of 7 days from the time it is issued, and your authenticated session is also subject to a sliding inactivity timeout (typically 1 week of inactivity).
remember_user_token Set only when you select "Remember me" at sign-in, so that we can keep you signed in across browser sessions. Removed when you sign out.
CSRF token (stored inside _paperwork_session) Protects against cross-site request forgery by ensuring form submissions originate from our Services.
Public/share-flow session values When you use public share links or public task flows, we may store short-lived session values inside _paperwork_session to remember access checks, such as share-link access, PIN verification, or email-grace state.
_paperwork_cookie_consent Records that you acknowledged our cookie notice, where shown, so we don't show it on every page. Set when you click "Got it". Expires after six (6) months.

Functional

Cookie / Storage Purpose
task_filters Remembers task-list filters for convenience. Expires after 30 days.
processes_filters Remembers process-list filters for convenience. Expires after 30 days.
download_ready Short-lived cookie used by the browser to know when a requested download is ready. Expires after a few seconds.
paperworkTaskReferences / paperworkProcessReferences local storage Stores recently loaded task or process references so keyboard navigation and adjacent-record navigation can work locally in the browser.
command_palette_recent_usage local storage Stores recent command shortcut usage locally in the browser so commonly used shortcuts can be prioritized.
Other local preference storage Some controls may store a small preference locally, such as a recently selected task assignee, to avoid repeated input.

Third-Party Security and Authentication

Provider Purpose
Google reCAPTCHA Enterprise or hCaptcha Used on selected public/account forms to help prevent abuse. These services may use cookies or similar technologies on their own domains for security and fraud-prevention purposes.
Third-party sign-on providers If you choose to sign in with Google or Apple, those providers may set short-lived cookies on their own domains as part of the authentication flow. We do not control these cookies; please refer to those providers' privacy policies.

We do not use cookies for advertising, cross-site behavioral tracking, or analytics targeting. We do not embed third-party advertising networks or social-media tracking pixels in our Services.

Controlling Cookies

Visitors may wish to restrict the use of cookies or completely prevent them from being set. Most browsers provide ways to control cookie behavior such as the length of time they are stored — either through built-in functionality or by utilizing third-party plugins. If you disable cookies, please be aware that some of the features of our Services may not function correctly — in particular, you will not be able to log in or maintain a session.
